Hybrid: Minimum of 3 days – Tues/Weds/Thurs at the office

We are looking for a bright, agile and creative person to be our Studio and Operations Manager and become the backbone of our team. You will be the glue that holds us together and keeps everything moving by looking after our people, our office and our systems helping the business and team to be the best that they can be at all times. You’ll look after a diverse range of operational areas including office management, traffic management, and resourcing, systems, operations and talent support. Though Operations is the role, you’re a strategic thinker and will look to keep us all on track, rather than the other way around.
As the go-to person for studio operations, you’ll play a pivotal role in ensuring the smooth daily running of the business. You will be the first port of call for any resourcing needs, ensuring the smooth running of projects and all things process staying ahead of our workstreams and changes in priority. You’ll be working closely across departments to manage needs and also expectations making sure the full team have the time, the tools and space to deliver their best work on time and on budget.
As somebody who wears many hats, you could be planning out creative resource one second, resolving an IT issue the next, and setting up lunch in the board room the day after that. You’ll have an understanding of timelines needed for the full creative process with experience in using (and ideally implementing) traffic management and resourcing systems. You’ll collaborate closely with everyone across our team and at all levels, working in a dynamic, inclusive and creative environment. You’ll work closely with leadership and HR to onboard and welcome new team members, manage the office, drive operational improvement and coordinate events to foster a positive working culture.
Most of our team come into the office on Tuesdays & Wednesdays. Due to the nature of the Studio & Operations Manager role, you will be office based at least three days (+Thursday). You’ll need to be happy with this, so we wanted make you aware from the outset.
Responsibilities
Project/Resource Management
Allocate resource efficiently to coordinate daily working schedules for the team based on project and business needs
Work closely with all teams on both pitch and projects to scope resource costs, and make sure the right resource is planned and booked in - Assigning work to ensure the right people with the right skills are allocated to work/relevant jobs
Optimise permanent creative resource and fill gaps with freelance staff where needed ensuring budget, and resource is pre-approved before booking external resource
Maintain and share accurate and detailed daily, weekly and monthly work schedules
Help the project and creative teams with time analysis and the smooth running of projects using commercial reporting tools and keeping forecasting up to date for the finance team while ensuring timesheets are completed on time
Source and book talent and continue to grow our talent pool
Set up all new staff with contracts, IT, NDAs etc.
Have an awareness of project profitability, working within the parameters of each project and flag any areas that may affect the bottom line
Follow and champion internal processes and utilise tools to keep the studio running smoothly and to lead by example.
Support on a variety of projects – both client and internal – rolling your sleeves up and supporting the team as needed.
Studio/Office Management
Oversee daily office operations, ensuring the office runs efficiently and remains a well-maintained, enjoyable environment.
Serve as the primary liaison with building facilities for maintenance, repairs, and any operational issues that arise.
Maintain the cleanliness, order, and functionality of common areas and meeting rooms/booths.
Manage kitchen supplies, snacks, and beverages, restocking as needed and coordinating weekly orders.
Handle all stationery needs, inventory control, and printer maintenance, liaising with IT for troubleshooting.
Act as a designated First Aider, office H&S custodian and Fire Warden, with training provided.
Lead the planning and coordination of internal social events, team-building activities, and annual gatherings bringing new ideas to consistently foster and improve positive company culture.
Manage general operational workflows to ensure smooth and efficient day-to-day office and homeworking life for the team
Oversee IT management and systems control managing an IT supplier
Oversee travel and bookings process and suppliers
Work with managers to identify room for improvement in operational processes and support on researching and implementing solutions and improvements
Support in integration of ways of working and ensure strong connection with our team based in New York ensuring a one team approach remains.
People/Talent Operations
Welcome new starters into the business, ensuring they are set up for success from day one with the right access to the office, their equipment, tools and systems.
Support on getting people’s inductions in the diary and making sure people know who’s who and oversee their onboarding experience
Manage employee offboarding, including deactivating access, collecting equipment, and organising leaver arrangements.
Support hiring managers with candidate communication during the interview process, including scheduling and feedback.
Post job ads, liaise with recruiters where needed and help to sift through applicant CVs with the hiring manager
